Good news, our new Web site -
- will be available soon for your use and benefit. Even better, its use is completely free to Customers who hold a Credit Account with us.
is designed to make it much easier for your organisation to manage its First Aid Kits in compliance with the forthcoming National harmonised OH&S regulations. Amongst its many features you will find:
Recent changes to the law put the onus on the Employer to determine the appropriate contents of each First Aid kit based on injury risk assessments. Here you can identify each Kit and record the contents you have determined are appropriate. You can even specify items which are required for limited periods each year – sun block for example. In many cases you will be able to include our pre-built modules which are in accordance with Government specifications. The responsible First Aid Officer can carry out regular audits of each Kit by printing out its list of contents and then entering the replenishment quantities back into the system via a simple, quick web page.
then automatically creates a quote which, after approval by the organisation's officer with purchasing authority, automatically creates an order which is rapidly shipped to the correct address. Where the one order contains items for multiple Kits, items for each Kit are bagged together and clearly identified as belonging to that Kit thus minimising the chance of handling errors.
A record is kept of each completed Audit and all items supplied for each Kit enabling you to meet the relevant regulatory obligations, monitor Kit usage and manage costs.
Store RoomThe same process detailed above can also be used for Inventory management of store room stock in an Industrial Health Centre.
When signing the application form to gain access to
, your responsible manager will nominate a member of staff to be the Administration User. This person has complete control over access to the web-site by your staff, including:
- Adding new users, removing old users and allocating permissions to allow each User to carry out appropriate actions on the web-site. For example: whilst by default any User may create a quotation, only Users given the permission to “Place Orders” can convert such a quote into an order, thereby committing the organisation financially. Other permissions which the Administrator can allocate include:
- Audit Kits
- Change Kit Contents
- View Quotes/Orders created by Other users
- View Financial information such as Invoices, Purchases etc.
- The ability to limit the Kits to which individual Users have access. This will be particularly useful for larger organisations which might have Kits at many sites in different States. For example: a particular First Aid Officer could be allowed to see and Audit all the Kits in the Salisbury (SA) Factory but none of the Kits in the Sydney Head Office. With this feature comes the ability to create new Administrators for limited sets of Kits. For example, a National Company might find it useful to have Administrators at each of its 15 sites across Australia. The control structure may be set up to mirror an organisation chart so that line Managers are able to maintain responsibility for Kits within their own domain.
- Edit Company details maintained on the site such as Billing and Delivery addresses, Payment method, Shipping method etc.
At any time, authorised members of your staff can create a quote or order for any items in our inventory available to your organisation.
If you have negotiated special volume pricing the system will automatically charge the correct price. Even during this process there is the option to allocate purchases to specific Kits so items will be delivered with the appropriate identification.
If you would like your organisation to have access to the benefits of
then you should:
- Download the Application Form and pass it on to a Manager with the authority to sign on behalf of the organisation. Please note that the use of
requires a change to our existing Terms of Trade so part of the application form is a new Credit Application. If you have been trading with us for more than six months there is no need to fill out the section requesting Credit References. - Ensure that the person signing the Application Form reads the Terms and Conditions governing use of the web-site.
- Post the signed application to us using the Reply Paid label included with the Application.
On receipt of the signed application form, we will send an email to your designated Administration User with a time-limited link to a secured site allowing a password to be set. Thereafter the Administration user will be able to login, download instructions and start creating Users, Kits etc. (in many cases there will already be Kits which we have been using on our internal system).
We look forward to welcoming you to First And Manager.com and trust you will find it a powerful tool to assist you in meeting your obligations under the OH&S legislation, pertaining to First aid Kits.
